Location: South San Francisco, CA7 MonthsThe general purpose of the Training Coordinator is to coordinate the successful
implementation of various training programs, as well as other operations/activities
for special projects, launch activities, etc. As such, the Training Coordinator
works within a core learning and development support team, made up of his/her manager,
instructional designers, trainers, and other project or administrative staff. This
team overall works closely with internal and external partners/stakeholders to ensure
best fit and alignment of developed/implemented learning programs and other offerings.
Incumbents in the Training Coordinator role, as all other employees, are fully accountable
for compliance with all laws, regulations and policies that govern the conduct of
training activities. MAJOR RESPONSIBILITIES: Organizes and implements onsite and offsite training needs including: Registration Training materials shipment/distribution, and printing AV setup Meals, receptions, dinner celebrations Presenter scheduling Logistics dissemination Hotel and flight accommodations/group transportation Agenda formatting and printing MailingsSetup all meetings related to the training: Composes routine correspondence and memoranda Maintains necessary communication with speakers, consultants and vendors Facilitates and/or contributes to vendor negotiations, project management, and
delegation (i.e. printers, hotels, consultants, wholesale promotional item providers,
etc.) Supports budget tracking and reporting Coordinates processes relating to fee-for-service agreements, vendor contracts,
purchase orders, invoices, payment requests and chargebacks Prepares surveys,
evaluations and presentations Aggregates and formats training and cost data for
production of periodic department reports Organizes and/or assists in special
projects (including specialized training programs, etc.) Maintains records and
files accordingly Edits/proofreads company documents, mostly departmental correspondence Effectively track the budget for all projects and the overall program Assists in developing, implementing and monitoring internal/departmental standard
operating procedures. Makes recommendations for improvements and suggest ideas
to improve support operations, processes and systems Assists with proactive support
and maintenance of the training facility Supports the operation and maintenance
of department and facility technologies (hardware and software) Updates content
to online calendars, websites, and other media Provides last minute problem and/or
change resolution Takes on a higher level of ad hoc responsibilities and special
projectsSkills QUALIFICATIONS and EXPERIENCE: Bachelors Degree (education, business or project managementdisciplines preferred) Average of 2 or more years work experience Must demonstrate some previous work experience in administration,project management or training and development, preferably gained within the pharmaceutical,
biotech or related industry Previous field sales, field management, or product
marketingexperience in the pharmaceutical, biotech, or other related industry is
a plus Proven track record of meeting or exceeding objectives and goals Business travel, by air or car, is required for regular internal andexternal business meetings ABILITIES: Impeccable ethics and integrity Ability, comfort and commitment in/to operating in a highly regulatedenvironment and industry, which requires understanding of the imperative for compliance
with company policies, procedures and other relevant internal or external laws,
regulations and the like Aptitude and interest in learning and development Strong computer skills (i.e. Windows/Mac, MS Office, Visio,Calendar, Adobe Photoshop, Learning Management Systems). Strong technical skills (WebEx,, video taping, podcasts, LCD andother multimedia equipment as required. This individual may have more than one project going onsimultaneously, and will need to multitask at an extremely high level, while maintaining
a high attention to detail. Work on high profile projects and provide project managementexpertise, which includes tracking deliverable, achieving timelines, and influencing
others. Good time management and organizational skills Strong attention-to-detail Good communication skills, both written and verbal Orientation to teamwork and customer service: enjoys supportinginternal partners/stakeholders and is regarded as a team player Financial acumen capable of effective and efficient development,tracking and reporting of budget/budget expenditure A history of success and learning from failures to garner futuresuccessKeywords Education Bachelors Degree (education, business or projectmanagement disciplines preferred)
