Senior Administrative Associate

PRIMARY OBJECTIVE of position:
Provides administrative and special project support to the Executive Vice President and Chief Scientific Officer.
An ideal candidate for this position will be proficient in mastering varied responsibilities and must be a self-starter who is proactive, and able to prioritize and work in a collaborative team environment with minimal supervision. Good business judgment, excellent organizational and effective communication skills are essential. Experience working with executives in various capacity is required.  Must be extremely proficient on various software like Word, PowerPoint, Excel and Outlook.
Candidate needs to have strong attention to detail and be flexible and adaptable. Effective communication with internal/external executives, administrative and other personnel to gather and/or convey information are also key. Information management will be critical. Candidate must have demonstrated the ability to handle confidential, complex and sensitive information. Will also proactively establish administrative processes and procedures to assist the department with projects and tasks.
Other qualities that will be essential to being successful in this position are the ability to work collaboratively with a wide range of external and internal senior executives, to prioritize and execute assigned tasks flawlessly, while tackling each assignment with enthusiasm and full accountability for all tasks performed.
RESPONSIBILITIES:
·   Maintains calendars and schedules appointments
·   Makes complex domestic and international travel arrangements
·   Sends and receives faxes, distributes faxes to appropriate parties
·   Handles routine matters to conserve supervisor’s time (e.g., expense reports, ordering supplies, etc.)
·   Coordinate, schedule, support and attend departmental (onsite and offsite) meetings.
·   Coordinates contracts with appropriate internal parties
·   Screens incoming phone calls, routes calls to proper individuals and takes messages; handles confidential messages and correspondence
·   Acts as an interface with external contacts concerning routine matters
·   Sends and receives emails
·   Proactively manages administrative aspects for the department
·   Conducts basic research (such as literature searches); compiles, analyzes and summarizes information for reports and correspondence
·   Maintains standard financial records and prepares report summaries from retrieved information
·   Inputs data to spreadsheets for budget development and maintenance, and monitors progress to budget 
·   Assists with special projects as required and prepares special reports under guidance
·   Appropriately deals with sensitive and confidential information
·   Collaborates with peer group for process improvement and Company-wide events
Minimum Job Qualifications:
Education/Experience:
·   Requires a high school diploma with some post-secondary schooling required.
·   B.A. is preferred.
