As Meeting Planner you will be responsible for planning and executing events and meetings for both internal and external audiences. Your organization and creativity provide the foundation for putting together a superior event that represents Liberty Mutual.
Responsibilities:
Work with clients to determine meeting purpose/objective, then based on that objective identifies several suitable meeting sites.
Negotiate with suppliers/vendors to secure best possible value for goods and services to be purchased in conjunction with the meeting, secures contract for same. This includes guest rooms, food, beverage, A/V, travel arrangements, recreation, amenities, entertainment, etc. Identifies cost savings and recommends plans to client. Update detailed budget of all meeting expenditures.
Work directly with executives, department heads and committees to develop and finalize program formats, topics, speakers and special events.
Arrange meeting details with facility and vendors. Track all relevant information and generating of reports for final planning.
Manage meeting/events on site. Supervise activities of 3 to 20 hotel personnel/vendors and any CMM staff during the event to ensure services are delivered as arranged. Many obstacles can arise once a meeting is underway, including medical and other emergencies. Must be capable of making on the spot, sound decisions for which there are no written procedures. Confidentiality is essential due to sensitivity of issues frequently discussed at meetings.
Track meeting volume countrywide and analyzes data to identify optimal negotiating opportunities. Constantly updates department's internal systems to meet changing needs of customers.
Audit all invoices before submitting them to client for payment. Provide Cost Benefit Analysis report that identifies actual meeting expenditures as well as cost savings achieved.
Manage several meetings and projects simultaneously while maintaining highest level of client satisfaction.
Responsible for managing department file audits.
Coordinate production of promotional materials for high impact meetings.
Assist with staff development and training.
Research prospective clients to generate new business and increase cost savings.
Maintain customer relations.
