Description:
JOB SUMMARY:

Answer all incoming phone calls, record messages and greet all visitors.



ESSENTIAL JOB FUNCTIONS:

- Promptly and accurately take all incoming calls, refer them to the proper person and take and record messages, maintaining professionalism in all aspects. Greet all visitors, and maintain neatness in the Reception area. Arrange transportation services for corporate visitors

- Request courier services as necessary. Periodically review courier service companies (price, quality, on-time service, etc.) Pre-approve and code courier invoices for payment

- Assist with day-to-day facilities management (lights, heat, etc)

- Assist Service Center Coordinator Daily, with opening incoming mail

- Provide administrative assistance to Department Managers

- Assist with accounts payable batch sheets when needed, code department bills and complete batch sheets. Assist with payroll

- Sell postage interoffice and reconcile the account

- Manage employee discount ticket program including monthly reconciliation. Distribute luncheon tickets, as necessary

- Wells Fargo bank deposits (holding the deposit until the courier arrives)

- Maintain the list of external people who would receive the company list each month and the G&K Services corporate employee business card binders

- Assist with administration of company charge cards. Assist other departments with clerical work, as needed. Assist Records Center as needed

- Maintain Birthday, Anniversary and Extension lists



EDUCATION REQUIREMENTS:



WORK EXPERIENCE REQUIREMENTS:

- Five years of reception and general secretary experience



SKILLS AND COMPETENCIES:

- Professionalism

- Accuracy and attention to detail

- Strong oral communication skills and excellent phone etiquette. Customer service-oriented with strong people skills

- Typing - 40 wpm

- Ability to deal with all levels of management
