EVENTS COORDINATOR FOR THE SOUTHEASTERN PENNSYLVANIA REGIONAL TASK FORCE
Adecco, who is the world leader in Staffing and HR Solutions, is hiring an Events Coordinator for the Southeastern Pennsylvania Regional Task Force (SEPA RTF). The Events Coordinator is responsible for building and maintaining a working relationship with the SEPA RTF staff, counties and work groups, the Pennsylvania Emergency Management Agency, stakeholders in contiguous states and counties and the Federal Emergency Management Agency. This relationship will assist the Events Coordinator to coordinate events and activities identified by the Executive Board or Executive Director of the SEPA RTF in support of the Planning, Training and Exercise functions of the SEPA RTF. The Events Coordinator will report directly to the Training Coordinator of the SEPA RTF.
Essential Duties, Tasks and Accountabilities:
• Coordinate and negotiate location and event or classroom space, arrange for food and beverages, order supplies and audiovisual equipment, etc.;
• Aggressively gather information on each project to achieve quality event productions;
• Conduct research, make site visits, and find resources to help staff make decisions about event possibilities;
• Provide subject matter expertise on applicable federal and state financial guidelines, eligible costs and processes;
• Create event announcements and record responses; monitor, follow up and report on registration progress;
• Propose new ideas to improve the event planning and implementation process;
• Serve as liaison with vendors on event-related matters;
• Assist with managing on-site production and clean up for events as necessary;
• Prepare name-tags, agendas, minutes, materials, notebooks, packages, registration lists, seating cards, etc.;
• Act as editor of the task force newsletter, capturing the successes of the quarterly and annual task force events for print and electronic distribution; and
• Close out all events as required.
Event Administration:
• Assist with preparing budgets and provide periodic progress reports for each planned event;
• Keep track of event finances to include invoicing and reporting;
• Provide guidance on spending limitations under the auspices of the Homeland Security Grant Program, the Office of Management and Budget and the State Administrative Agent;
• Assist with maintaining training records for all courses; make recommendations for improvement in training and training record-keeping; and
• Research needs of and coordinate and track professional development for Task Force support staff and work group leadership.
Qualifications:
• Bachelor’s degree preferred; significant work experience can substitute for the degree;
• Department of Homeland Security Grant Program guidelines and 44 CFR experience preferred;
• At least 3 years experience with office administrative management;
• At least 1 year experience coordinating special events;
• Excellent communications skills, including writing, proof-reading and speaking;
• Ability to manage multiple projects and work assignments from a variety of staff and volunteers;
• Excellent interpersonal skills both in person and by phone, with high-level professionalism;
• Excellent customer service ethic and high expectations for quality;
• Proficient in the latest versions of Microsoft Word, Excel, PowerPoint, Access, mail merges, email and web searches;
• Ability to perform efficiently under pressure; and
• Ability to handle multiple tasks and/or projects simultaneously with minimal direction or supervision.

Physical Demands:
While performing the duties of this position, the employee is frequently required to walk, sit, stand, talk, listen, drive a vehicle and climb stairs. Occasionally, the employee will need to: bend, twist or rotate at the waist; push, lift or carry items up to 25 pounds.
