Job Title: Receptionist
Location: Littleton, CO Summary: Operates PBX or multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties. Retrieves messages from voice mail and forwards to appropriate personnel. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. Answers questions about organization and provides callers with address, directions, and other information. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Monitors visitor access and issues passes when required. Receives, sorts, and routes mail, and maintains and routes publications. Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes. Takes payments for services and products. Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary. Performs other clerical duties as needed, such as filing, photocopying, and collating. Answer calls to the telephone switchboard courteously and route callers to the correct department in an efficient manner. Greet all of our customers, suppliers and visitors in a professional and courteous manner announcing their arrival to the appropriate department. Take accurate messages and relay to proper person or department. Respond to inquiries and provide applicable information. Page personnel in the offices and warehouse when required. Be aware of which executives and managers, have left or returned to the offices. Assist with the distribution of all-incoming mail and faxes to the offices. Assist sales personnel in the field who need to contact customers or their managers. Assist accounts receivable with mail-outs
Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience. Previous PBX experience preferred. Language Skills Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Computer Skills To perform this job successfully, an individual should have knowledge of Internet, spreadsheet, word processing software, Ten Key calculator by touch and order processing systems. Microsoft Word and Excel knowledge necessary. Other Qualifications Ability to work overtime.
