ASSISTANT PROJECT ADMINISTRATOR
 
Engineering/Remediation Resources Group, Inc. Magazine as one of the fastest growing private firms in the country. Our continued growth has created a job opening for an Assistant Project Administrator in our Corporate office, located in Martinez, California.
 
 
Responsibilities include, but are not limited to: 
 
 
WORD PROCESSING:
·         Performing document production to technical staff. Forecasting workloads and managing changing priorities. 
·         Executing uniform correspondence procedures and style practices.
·         Compiling material to be typed, following written or oral instructions.
·         Reading instructions accompanying material, or following verbal instructions from supervisor or person requesting document, to determine format and content required. 
·         Typing, revising, and combining material such as correspondence, reports, records, forms, minutes of meetings, scientific or technical material, numerical data, and tabular information, from rough draft or corrected copy. 
·         Checking completed work for spelling, grammar, punctuation, and format.
·         Proofreading and editing document for grammar, spelling, punctuation, and format. Correcting errors. 
·         Storing completed document in computer memory or on data storage medium, such as a disk or CD-Rom. 
·         Producing document in final format including all necessary sections, appendices, table and figures. May input data for revision or editing, using data entry device other than keyboard, such as optical scanner.
·         Collating pages of reports and other documents prepared.
·         Electronically sorting and compile text and numerical data, retrieving, updating, and merging documents as required.
·         Capable of converting native files using adobe acrobat as well as bookmarking.
 
DOCUMENT CONTROL:
·         Performing weekly file audits, and mentoring technical staff on the project filing system.
·         Assist with formulating procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
·         Maintaining our document tracking table
·         Maintaining our document control numbers
 
 
OTHER ADMINISTRATIVE DUTIES:
 
·         Assisting in project set up, maintaining project files, handling routine correspondence.
·         Maintaining company insurance certificates and registrations.
·         Scheduling appointments, giving information to callers, and otherwise relieving officials of clerical work and minor administrative and business detail.
·         Managing and ensuring the reception and front office area(s) are kept operational and neat; Meeting, greeting and assisting visitors/vendors; Answering and directing all incoming calls efficiently.
·         Organizing couriers for all departments; preparing courier tracking labels and delivery of packages.
·         Opening and sorting incoming mail; processing all outgoing mail as needed; maintaining postage system.
·         Processing and maintaining company project filing system. Organizing and maintaining file system, and filing correspondence and other records.
·         Preparing outgoing mail and correspondence, including e-mail and faxes. Retrieving faxes and distributing accordingly.
·         Assisting departments with overload as required; working on projects with staff to accomplish complex project work.
·         Arranging refreshments for guest and meetings.
·
